Course Description

Traditional Client Portals and File Sharing systems are outdated technology. They were originally designed for sending large files. With new Breach of Privacy Laws, many firms are also using them to send small files (i.e. copies of tax returns) to clients. Unfortunately, clients are not adopting Client Portal technology and firms need to look at alternative file transfer options and solutions.

After an extensive research project, studying hundreds of accounting firms that have adopted a client portal or file sharing system, some shocking truths have been revealed about Client Portal adoption rates. Learn why less than 35% of your clients will use your Client Portal. And what you can do to easily and effectively transfer files for the remaining 65% that won’t.

Learning Objectives

  • Understand why only 35% or less of your clients will use a Client Portal or file share system

  • Understand the importance that file size, frequency of transfer and login have on the Client Portal experience

  • Learn why your firm needs a secure email solution as an easy and effective method of secure file transfer

  • Learn how to automate the labor intensive process of converting files to PDF format and manually encrypting PDF files as email attachments

  • Why E-Signatures should be a part of your file transfer solution

  • From this session, you will learn how your firm can save money, improve process, be in compliance and solve the workflow process of document exchange. You will learn why Client Portals don’t work and what other firms have learned using a portal or file share system

"Steve Dublason really knows his product and communicated that very well. However, our system which is the use of virtual office (Thomson Reuters) is not compatible with the product being offered. He did point out the changes affecting the use of pdf system though that will help me explain to the client or even myself why opening attachments on a web based mail is no longer as easy as before. eg just clicking the attachment file. Now it has to be donloaded so I did learn something that I can share with others and if opportunities exist in the future will have this product in the front line."

"I was glad to see that not everyone was using the PORTAL services. I did a short sub job for a CPA that was using the PORTAL services. It made me a little ill to hear the secretary tell the clients that they could get copies of their returns on the CLIENT PORTAL. These are elderly clients, most of which never had or used a computer. This was a very informing webinar that gave me more information on the security side of sending and receiving information on the internet. Thank You."

"It was wonderful to find out I am not the only one dissatisfied with the response of tax clients to portal use. I thought the webinar was very factual and I was surprised how many participants seemed to be answering polling questions as though portals were not in their experience vocabulary. That was an eye opener. I particularly enjoyed the pace of the presentation. It gave me plenty of time to understand the issues, and yet did not drag in any way."

"Excellent job. I didn't come into this webinar with specific expectations. Great overview of the pros and cons and informing us that even though most of the secure file technologies have different naming conventions, many are the same thing (portals). I did not understand the technology that well. Appreciate the honesty regarding issues with the methods and the suggestion to use different methods for different types of clients was very smart!"

"THE COURSE WAS VERY INFORMATIVE. OUR FIRM ALREADY HAS AN EMAIL SYSTEM. WE HAVE A PORTAL BUT DON'T USE IT BECAUSE OUR CLIENTS ARE NOT UP TO THE EDUCATIONAL AND TECHNOLOGICAL LEVEL TO USE IT. ALSO THE ENCRYPTION SOFTWARE SLOWS EVERYTHING DOWN, AND ALSO INTERFERES WITH CLIENT SOFTWARE. NO ACCESS. AND WIRELESS ON TOP OF ALL THAT. DO WE HAVE TO GIVE COMPUTER CLASSES TO DO TAXES WITH OUR CLIENTS. TIME WILL TELL."

"Steve was an excellent presenter. I was taking the class just for knowledge on the subject, and was surprised that I was as interested in the subject. I know that was due to his presentation skills. If I worked with the portals, I would have thoroughly enjoyed the course as he dealt with specifics which I always prefer. It was time well spent, and I would gladly take a course from him again."

"Being a newbie to portals, I thought that Scott made an excellent presentation on the "mechanics" of file exchange. His knowledge and experience in this technology took the mystery out of how it works and what options will be best for our office as we go further into using file exchange. His powerpoint download is also excellent in helping us remember what he taught."

"I took this course to learn more about client portal solutions. Not only did I learn about a specific product, I received a lot of general information that will be helpful in my practice. I also thought the solutions and suggestions were very practical in that they did not lead you to believe that 100% of your clients or situations will be solved using one method."
